For modern law firms, document management is often the most time-consuming bottleneck. FileIT, a dedicated tool for TrialWorks (Version 11 and higher), is designed to solve this by allowing users to import documents directly into specific case tabs, moving them from local or network drives into the organized TrialWorks Casefiles folder.
Getting Started with FileIT
The program is accessible directly from your desktop. Once launched, the FileIT window serves as your primary hub for staging documents before they are permanently moved into your case management system.
The interface features several key command icons:
Open Folder: Used to select the specific directory from which you wish to import files.
Import Files: Adds all files from your selected folder into the FileIT transfer list.
Assign to All: A powerful efficiency tool that allows you to apply a Case Name, Tab, Category, Author, or Date to every document in your list simultaneously.
Transfer Files: The final step that moves all tagged files into their respective TrialWorks cases.
The Transfer Process: Precision and Automation
Managing a high volume of documents requires both precision and speed. FileIT provides several ways to categorize your data:
Selection and Search: You can choose a directory via the Browse For Folder window. Once files are listed, you can use the Search field to locate specific cases by file number.
Multi-Case Filing: If a single document needs to be associated with multiple cases, checking the MULTI box allows for bulk association.
Detailed Metadata: Users can manually adjust or use "Assign to All" for fields like Date Received, Author, Party Name, and Doc Category. If the "Send E-mail from FileIT" setting is enabled in TrialWorks, the system can even auto-generate emails with document shortcuts to designated invitees upon transfer.
Handling "Additional" and "More Links" Documents
Often, legal documents like signed contracts or court-stamped pleadings need to be linked to existing entries. FileIT supports "Additional" or "More Links" fields for a variety of categories, including Discovery, Experts, Medical Records, and Pleadings. When tagging these files, the system prompts you to identify the original entry to ensure the new file is correctly lined up with the existing record.
Efficiency Tips: Drag-and-Drop
For those who prefer a more tactile workflow, FileIT supports drag-and-drop functionality. You can drag a single file or an entire folder directly onto the FileIT desktop icon to launch the program and populate the transfer list automatically.
Once your transfer is complete, it is recommended to Clear the Transfer List. This keeps your workspace organized without deleting the actual files from your computer.
